Responsibilities:
Greet and welcome guests as soon as they arrive at the clinic in a friendly and professional manner.
Answer phone calls, schedule appointments, and manage the clinics appointment calendar effectively.
Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
Provide basic and accurate information in-person and via phone/email.
Receive, sort and distribute daily mail/deliveries.
Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
Order front office supplies and keep inventory of stock.
Update calendars and schedule appointments.
Keep updated records of office expenses and costs.
Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing.
Ensure accurate and timely registration of patients, collecting necessary information, and updating patient records.
Handle patient inquiries, complaints, and requests promptly and professionally, escalating issues to the appropriate staff members when needed.
Job Requirements
High school diploma or equivalent additional education or certifications in healthcare administration or related fields is a plus.
Proven experience as a receptionist or customer service representative, preferably in a healthcare or wellness environment.
Proficient computer skills.
Excellent interpersonal and communication skills, with the ability to interact effectively with patients, staff, and external stakeholders.
Attention to detail and accuracy in data entry and record-keeping.
