Job Purpose:


This role should coordinate the importation & clearance operations for imported/re-exported shipments as aligned with MOH and Custom authority policies & procedures of PBG Finished Goods. The specialist should be capable to execute an effective and streamlined inbound operations process from/To Logistics Center Zaventum (LCZ, Belgium) and/or manufacturing sites to the Egypt Distribution Center and/or Local Service Provider by ensuring:
Products arriving at port/airport (for import FGs, Samples and Reference Standards) is cleared and delivered to Distribution Center and/or LSP and Quality released to location in the shortest lead time possible and greenlight is granted for importation only after local readiness for importation.
Integrity of product through the inbound supply chain by establishing appropriate and consistent communication flows.
The country latest customs & clearance regulations are applied to ensure efficacy and compliance.


Key Accountabilities


Inbound Logistics:
Follow up with forwarders to recieve pre-alerts in timely manner.
Coordinate with airport customs to ensure the shipment is stored in correct storage conditions to avoid temperature excusions especially for cold chain products and reference standards.
Coordinating the incoming shipments with the warehouse/LSP to make sure that materials arrive with the right quantities, lot numbers & reviewing their correct entry into the designated systems.
Create QTS report in a timely manner against identified incident for the affected inbound shipment after reviewed by both Quality Operations and Logistics Manager.
Follow up to receive complete and accurate shipping documents for conformity to MOH and customs regulations.
Collect & Submit goods releasing documents according to MOH & Customs regulations for Logistics Manager review and approval in additional to import letters when identified.
Prepare & complete documents for Manager review prior to submission to GFS & Local Finance Treasury including CBP, Stamp Cheque, Form 4 and/or Any Bank Approvals.
Collect from Local Finance Treasury the Bank cheque hardcopy and submit landed cost invoices.
Report on weekly basis the current balance for custom duty, fees and taxes in custom ensure its adequacy for releasing shipments.
Coordinate with clearing agents the clearance process to ensure the use of the most appropriate tariff codes, VAT and Insurance data.
Coordinate complete cycle of re-exporting shipments (including samples, etc) by preparing the needed documents (invoices, packing lists….etc.) in addition to securing the required approvals from MOH and initiating the required set export certificates (COO, CPP…etc.) and communicating with the concerned departments to gather required data and documents in order to start initiating documents for exported shipments.
Complete the supporting documents needed by Manager for CM Signature for the submissions related to the communications with MoH to ensure issuing importation permits on annual and ad-hoc basis.
Support the identified team when needed to enlist new registered products into the annual importation plan and/or extention.
Update importation permit remaining balance permit upon receipt of each shipment and share the report with the identified team as aligned by Manager.
Coordinate SKU and Prices related to E1 and GMX when needed prior to importation.
Update monthly tracking reports related to inbound activities as required for market logistics operations activities related to and not limited to Report Cycle, Stock Count results, variances and CAPA as per market SOP.
File and Archive shipments documentation follow up database both soft & hard copies inspection & audit purposes.
Warehousing and Inventory Management:
Support DC and/or LSP on imported FGs to execute periodic destruction of all identified destruction inventory as per the market Operating Procedures (SOP).
Execute the inventory management process at the DC and/or LSP as laid out for the market, including and not limited to:
Periodic cycle count
Annual stock count
Periodic inventory reconciliation (with LSP ERP system) for LSP market.


Quality, SOP and Compliance:
Be familiar with and execute logistics process in compliance with practices and processes laid out in Good Distribution Practices (GDP), contractual agreements, Pfizer standards in logistics, customs, trade, security, EHS and quality, as well all applicable laws and regulations (local, US or International)
Ensure accuracy of ERP and E1 system in line with product information including and not limited to SKU number, description, batch details, manufacturing and expiry dates, country of origin
Ensure Adherence to local and global SOPs.


Project Management and Operational Excellence:
Support Continuous Improvement and Operational Excellence projects for the distribution center delivering cost and process efficiencies either through independent initiatives and endorsed and/or directed by the the Logistics Manager
Metrics / Reporting
Logistics Operations
Update and Maintain Monthly Budget Related to spend analysis reports
Support (as required) Logistics Manager in Budget Variance and Forecast reporting

Experience And Knowledge
Bachelor degree (a degree or certification in supply chain is preferred)
Minimum 3-5 years experience in logistics and distribution operations
Knowledge of healthcare environment
Experience with import, export, international trade customs processes and documentation in the region
Working experience with ERP systems
Microsoft Office skills (MS Word, MS PowerPoint, MS Excel)
