Purpose The holder of this position will provide administrative and logistical support for faculty and students of the interdisciplinary graduate programs at the School of Sciences and Engineering and assist the School of Science and Engineering (SSE) Graduate program manager in all activities related to graduate studies
Principal Accountabilities
Provide administrative support for the interdisciplinary graduate programs faculty and graduate students
Coordinate the admissions and review processes of applicants
Coordinate the course scheduling with the program directors and the registrar
Act as the point of contact for prospective and current students regarding interdisciplinary graduate programs and respond to all their enquiries in a timely manner
Maintain up to date contact records for all graduate students
Handle all documents related to graduate students including their academic advising fellowship nominations academic progress petitions thesis submissions graduation requirements
Handle all paperwork and maintain files and student records
Access all students records on banner and other systems
Handle class and room reservations send announcements and invitations to students
Communicate with the office of the Dean of Graduate Studies and with the registrar office to follow up on students forms petitions and other issues
Responsible for the external examiners payments
Schedule thesis defenses and related logistics
Responsible for the textbook orders as per the recommendations of course instructors
Assist the graduate programs manager in students registration
Assist with the preparation and representation of the interdisciplinary graduate programs in the graduate open house
Provide administrative support for new students orientation sessions
Keep programs directors program faculty and graduate students informed about important deadlines
Perform other responsibilities as assigned by the graduate programs manager
Requirements
Minimum Education Requirement
·Bachelors degree in a relevant field
Experience
·A minimum of two years of relevant experience
Skills
Excellent communication skills
Ability to maintain a high degree of confidentiality at all times
Advanced knowledge in the Microsoft Suite software and Banner
High ability to multitask and work under pressure
Desire to work in a dynamic fast-paced and entrepreneurial environment
Attention to detail and ability to meet deadlines efficiently
