Responsibilities:


Make necessary local and international flight bookings, start and obtain Travel Authorization, required local hotel bookings and international as required.
Make required local transport to and from Badr City Workshop and to different field locations.
Coordinate for local WADS clients issue of desert/borders/gate passes etc.
Maintain an ample stock of office supplies at all times.
Organize and maintain an efficient filing system.
Issue Service Tickets and Rental Tickets, and POs. Submit to customer then to Regional office for invoicing.
Generate a regular monthly revenue and expenditure sheet, sales sheet, HSE reports, shipments log, FOC transport sheet, Running Rentals Tracker, Engineer Utilization Table.
Scheduling appointments.
Follow up and monitor all issued Field Orders.
Follow up and monitor all shipments in and out.
Assist with maintaining an updated Rig count chart.
Assist with organizing clients training sessions.
Keep track of running contracts and their renewal dates and advise well ahead.
Coordinate with local agent on all finance issues.
Handle personnel HR issues, including staff attendance, revision of monthly time sheets, annual leaves and field break balance.
Handling suppliers and vendors inquiries.
Processing teams personal expenses and following up on payment status.
Revising Suppliers invoices upon receipt, sending them for approval, then submitting to finance.
Following up with customers on PO status
Creating Journey Management Plans (Forward and Return) when engineers visit and leave rig.


 


Qualifications
Business Administration Degree, American University Cairo, British University Cairo, German University, Cairo University, Ain Shams University. Preferable with Finance background.
Experience 0-3 Years


Skill & Competencies
Technology Skills: word processing, spreadsheet, presentation, document Management, Time sheets, Service Tickets and Billing.


Interpersonal Skills: Top notch interaction with Field Team members, clients, vendors/suppliers- face to face, by e-mail, phone.


Writing Skills: Drafting routine correspondence and file memos as well as proofreading documents and all communication means including e-mails. Writing skills is an integral part of that position


Organizational Skills: organizational skills are essential to efficiently manage our operation, must maintain paper and electronic files, manage projects, track multiple deadlines, maintain calendars, schedule meetings, organize events and keep everything orderly and accessible.


Attention to details: Attention to detail is critical in our profession. Should handle the minutiae of daily practices and attention to detail is important in nearly every administrative task from drafting and proofreading documents to scheduling meetings and calendaring deadlines.


Teamwork: Teamwork is crucial to the role of Operation Administrator, must work closely with field personnel, regional office team members, collaborate with third parties ultimately to get the job done.


Multi-tasking Skills: Working with more than one team member on more than one file simultaneously, need to juggle multiple assignments and competing priorities and how to manage growing workloads most efficiently.


Research Skills: Perform Internet research for a multitude of tasks such as finding directions, gathering client information, researching the competition, embassies, travel agencies, hotels etc.
