POSITION OVERVIEW
The Administration Assistant reports to the Operation Site manager and HR manager and has the responsibility of managing all Administration tasks
PRIMARY DUTIES
• Provide ID card, Visiting Cards, SIM card, Internet connection through our Attendance system.
• Transportation & Hotel Bookings –
• Manage Employee, Guest Travel.
• Guest invitation letters
• Looking after travel arrangements of employees, regional guests.
• Looking after hotel and cab bookings. (advance booking , cancellations)
• Housekeeping –
• Ensure Admin Building, Security Cabin Housekeeping.
• Daily checking of checklist
• Purchase Housekeeping Material
• Get the done all small repairing in relate with Admin Building
• Vendor Management –
• Vendor Management - Hotels, Transportation, Housekeeping, Stationary, Pest Control, Couriers, Security etc.)
• Admin Bill processing
• SAP Indirect PRP - Purchase Requisition
• Perform the role of Indirect PRP user and raise Purchase Requisition for all admin, general services, sales, and Finance
• Follow up the delivery of the orders and insure it comply with requester specification
• Meeting room booking and arrangement
• Utilities
• Receive, manage utility bills for site and WH (telephone, electricity, Natural GAS and water)
• Mobile phone bills follow up with necessary approvals
Internet connection management
• Human Resources
• Update Vacation balance (HB and Top Business) and send required monthly reports per manager on the first week of each month and helps in launching attendance system across both locations,
• File and Document all warnings as per HB Fuller code of conduct and send monthly report for manager and on the 13th of each month for payroll
• Manage medical insurance provider:
a. Addition/cancellation.
b. Reimbursements with proper filing system and follow up
c. monthly /quarterly payments,
d. pre-approvals as per medical policy
e. Monthly updates when needed
• Support in contract renewals as well as required signatures for outsourced employees.
• Follow-up on employee missing documents and filling for outsourced employees.
• Schedule interviews and appointments as requested
• Manage Mobile providers and requirements payments/approvals
• Prepare needed HR letters for Travel, visa, social insurance as per the agreed templates)
• Manage Travel agency, needed approvals, and payments
• Keep training attendance as well as certification record (offline/online)
MINIMUM REQUIREMENTS
• Bachelor degree
• Minimum 2-4 yrs of experience
• Microsoft computer expert user especially with reports and excel
• High level of commination and negotiation skills
• Shows high level of flexibility and adaptability
