Job Description

  • Provides secretarial and administrative support to the department including typing, preparation, and compilation of reports and proposals.
  • Develops and maintains the filing system for the department.
  • Prepares the stationary request and ensures regular availability of stationary.
  • Follows-up on the issued and pending invoices, expenses, advances and other related minor accounting issues and communicates with the Finance department for approval.
  • Maintains and updates a telephone list of the technical staff numbers and provides them whenever needed.
  • Undertakes all the logistics to facilitate the transportation of the technical staff to the customer site.
  • Handles travel logistics for team members.
  • Submits required reports regularly and per request.
  • Registers on MS Project all plans with achieved tasks as well as delays. 
  • Handles filling to all necessary project documents (correspondences in/out, purchasing orders, petty cash, attendance reports...) 
  • Schedules meetings and arranges appointments for internal meetings. 
  • Assists PMs in project related tasks as below:      
  • Keeps and maintains log for the awarded projects.
  • Keeps and maintains log for tools and equipment.
  • In initiation phase: prepares the project charter and registers project on AX.
  • In execution phase: collects monthly forecast from PMs and updates on AX, prepares the purchase orders for PM review and approval, prepares required expenses payments/custodies, does the required revisions on AX, issues invoice requests on AX and prepares change orders for PM review and approval.
  • In closure: prepares closure sheet for PM review and approval.
  • Responds to client inquiries, referring them to the appropriate concerned person.
