Docspert Health is looking for an enthusiastic flexible and detail-oriented Office Administrator.
The ideal candidate will be in charge of the organization and efficiency of daily office operations. From scheduling client meetings to communicating between departments you will be responsible for completing multi-level tasks in a professional and timely manner.
Responsibilities
Manage the reception area and staff to ensure effective communication both internally and externally
Coordinate appointments and meetings and manage staff calendars and schedules.
Provide office guests with a hospitable experience
Supervise the maintenance of office areas equipment and facilities.
Interact with IT phone and building personnel as needed.
Dealing with the post scanning and filing.
Manage emails letters packages phone calls and other forms of correspondence
Keep a stock of office supplies and place orders when necessary
Recruit and coordinate interviewing references and documentation for staff hiring
Conduct new employee orientations.
Inform applicants about job details such as benefits and conditions.
Coordinate exit process for departing employees.
Assist with billing by preparing and sending invoices.
Support bookkeeping and update spreadsheets used by accounting as requested.
Prepare monthly payroll and prepare or maintain employment records.
Plan in-house or off-site activities like parties celebrations and conferences
Qualifications
Bachelor Degree.
Experience in a relevant position is a big plus.
Excellent written and verbal communication skills
Ability to multi-task organize and prioritize work
