Job Description


1. Front Desk Management

  • Greet visitors, clients, and vendors professionally.
  • Maintain visitor logbooks and issue visitor passes.
  • Ensure a clean and organized reception area.

2. Telephone & Communication Handling

  • Answer incoming phone calls promptly and direct them to the appropriate departments.
  • Take accurate messages and relay them in a timely manner.
  • Manage company emails and respond or forward as necessary.

3. Administrative Support

  • Handle filing, photocopying, scanning, and document management.
  • Support HR and administrative departments with routine clerical tasks.
  • Maintain office supplies and coordinate with procurement for restocking.

4. Scheduling & Appointments

  • Schedule meetings, interviews, and appointments for staff.
  • Coordinate with operations or logistics teams for site visits and staff deployment.
  • Manage calendars for managers or department heads if needed.

5. Document Control

  • Receive and distribute internal memos, circulars, and external correspondence.
  • Ensure proper documentation of incoming/outgoing mail and courier dispatches.
  • Assist in maintaining confidential company records and documentation logs.

6. Coordination & Internal Liaison

  • Act as a point of contact between field/site teams and the head office.
  • Liaise with suppliers, contractors, or clients when visiting or calling the office.
  • Coordinate with the PRO or HR regarding visa, labor card, or gate pass documentation.

7. Health, Safety, and Environment (HSE) Awareness

  • Familiar with basic HSE practices relevant to a drilling environment.
  • Ensure all visitors follow HSE protocols (PPE, sign-ins, etc.) before entering restricted zones.

8. Facility & Office Management Support

  • Report maintenance needs (e.g., AC, lighting, equipment) to the facilities team.
  • Assist in organizing office events, staff meetings, or training sessions.


Skills

  • Good command of English and Arabic (helpful in the UAE).
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Professional appearance and communication.
  • Prior experience in an oil & gas, engineering, or industrial environment is a plus.
  • Familiarity with Abu Dhabi company policies and labor regulations.
