Key Responsibilities:
- Warmly welcoming visitors, guests, and clients, ensuring a positive first impression of the organization.
- Answering incoming calls, directing them to the appropriate personnel, and taking messages when necessary.
- Scheduling and confirming appointments, managing calendars, and ensuring that meeting rooms are properly prepared.
- Overseeing the reception area, ensuring it is clean, organized, and stocked with necessary materials (brochures, forms, etc.).
- Receiving, sorting, and distributing incoming mail, packages, and deliveries, while organizing outgoing shipments.
- Monitoring visitors and ensuring the proper check-in/check-out procedures are followed for safety and security.
- Offering general information about the company, services, or products, and answering any inquiries from clients or staff.
- Assisting with basic administrative duties such as data entry, filing, and handling office supplies.
Requirements:
- Bachelor's degree in business administration, management, or a related field is preferred.
- Previous experience in a customer-facing role (preferably in a receptionist, front desk, or administrative position).
- 3+ years of experience in a similar position, preferably in the Oil & Gas industry.
- Ability to interact with clients, visitors, and staff professionally.
- Ability to prioritize tasks and manage time efficiently.
- Ability to work well with others, maintain a professional appearance, and foster positive relationships within the organization.
