Job Title: Office Manager

Job Overview:

The Office Manager will be responsible for ensuring the smooth operation of the office and administrative functions. This role requires a highly organized, detail-oriented individual with excellent communication and leadership skills. The Office Manager will manage office supplies, handle administrative tasks, coordinate office events, and support the overall efficiency of the office environment.

Reports To: CEO

Responsibilities:

  • Oversee daily office operations and ensure that office processes run smoothly
  • Manage office supplies inventory and place orders as needed
  • Answer calls
  • Deliver or bring necessary documents and other materials to contractor or client
  • Receive mail and all necessary documentation
  • Coordinate maintenance and repairs of office equipment
  • Organize and schedule meetings and appointments
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Handle office-related inquiries and provide general support to visitors
  • Plan in-house or off-site activities, such as parties, celebrations, and conferences
  • Ensure office safety and compliance with health and safety regulations
  • Manage office budget and expenditures
  • Implement and maintain office procedures and policies
  • Support Director in onboarding and offboarding employees
  • Liaise with facility management vendors, including cleaning, catering, and security services

Skills

Requirements:

  • Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant
  • Knowledge of office administrator responsibilities, systems, and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • A creative mind with an ability to suggest improvements
  • High School degree; additional qualification as an administrative assistant or Secretary will be a plus
