Roles & Responsibilities:
Organize Meetings and update the director calendar effectively.
Organize the call preparations (timing, venue, access code, tools, and invitees’ attendance & time zone)
Continuous follow up on departmental pending matters to meet the deadlines
Arrange for visits requirements (hotel booking, transfers and meeting arrangements)
Control vacation balance movement on monthly basis in coordination with HR
Issuance of the director expense reports and submitting them on time to the Finance team.
Assist the director direct reports in the preparation of different reports whenever requested.
Maintain and update the filing system in compliance with ILM requirements.
Coordinate and organize all department related meetings, conferences and events, in line with presenting a good image of the company in a professional manner.
Maintain an updated organization chart for the department.
Provide the team with administrative and secretarial support, including taking minutes, as and when required as well as oversees all print hardware and stationary.
