Key responsibilities and challenges


1- Material Ordering Functions


Prepare requisitions for materials, obtain approvals and place orders
Process vendors invoices for payment, as well as maintain accounting filing systems
Reconcile vendor invoices and assist the project director in resolving any invoice disputes with subcontractors
SAP user – Site Purchasing Coordinator. (SRM, Trips, Petty Cash)
Assist and co-ordinate with Accounting Dept. on establishing Purchase Orders, including tracking and updating Purchase Orders


2- Office Management and Administration


Functions


Procure office supplies and equipment, as well as co-ordinate maintenance and repair of office equipment
Assist Bombardier employees and subcontractors in obtaining the necessary badges, keys, phones, computer access etc. for performing their duties
Track and submit Bombardier personnel time to Headquarters
Responsible for providing administrative support to the Project director including official letters, emails, reports and minutes of meetings
Booking travel for the team as required


3- Support Functions


Assist in preparation of project monthly reports.
Assist in preparation of presentations, proofreading/ formatting documents, and assisting with correspondence, memos, charts, tables, graphs, plans etc ;
Coordinate company events including briefings/presentations to make sure it runs smoothly and successfully; managing details like location, selecting menus, accommodation and transportation

Excellent oral and written communication skills
Excellent time management
Ability to work under pressure
Ability to multi task and work independently as well as in a team
