Job Purpose
To handle routine secretarial functions of the respective department/ division and ensure smooth and efficient documentation, follow-up and independent handling of procedures while maintaining a high level of integrity and confidentiality
Description
Administrative Tasks
1. File arrange record categorize and sort documents mails and correspondence in a systematic and organized manner for effective maintenance and retrieval
2. Increase knowledge of and learn the details of regular administrative and departmental procedures to gain a sufficient understanding of processes and procedures
3. Provide secretarial assistance to the department/division by acting as a focal point for receiving messages, emails and documents promptly forwarded inquires to the concerned staff to ensure efficient secretarial assistance
4. Inform staff of meeting schedules circulate agenda and make all arrangements for important meetings in the department to ensure smooth arrangement and organization of meetings
Policies Processes and Procedures
5. Follow all relevant department policies processes standard operating procedures and instructions so that work is carried out in a controlled and consistent manner
Day-to-day management
6. Follow the day to day operations related to own jobs in the department to ensure continuity of work
Compliance
7. Comply with all relevant CBE regulations banking laws AML regulations and internal CIB policies and code of conduct in order to maintain CIB sound legal position and mitigate any potential risks
