Job Purpose: The Onboarding Specialist is responsible for delivering a smooth, professional, and engaging onboarding experience for new employees from offer acceptance through full integration into the organization. The role supports alignment with the company’s culture, policies, and performance expectations while ensuring accuracy, compliance, and a positive employee experience across all onboarding touchpoints.
Key Responsibilities:
1. Onboarding Process Execution
- Coordinate and execute end-to-end onboarding activities for new hires across different functions and locations.
- Work closely with Talent Acquisition, HR Business Partners, and Hiring Managers to prepare onboarding plans aligned with each role.
- Support the preparation and issuance of employment offers, contracts, and pre-joining requirements (medical checks, background verification, documentation).
- Act as the main point of contact for new hires prior to joining, ensuring timely communication, clarity, and readiness.
2. Orientation & Induction Support
- Organize and support employee orientation sessions covering company culture, organizational structure, HR policies, benefits, and code of conduct.
- Coordinate departmental induction schedules and follow up with stakeholders to ensure completion of onboarding checklists.
- Facilitate mentor/buddy assignments and monitor early-stage employee integration.
3. Documentation & HR Coordination
- Collect, verify, and maintain accurate onboarding documentation (IDs, certificates, contracts, compliance forms).
- Ensure timely and accurate data entry into HRIS / ATS systems.
- Coordinate with Payroll and IT to support system access, benefits enrollment, and salary activation.
- Maintain organized onboarding records in line with internal policies and audit requirements.
4. Employee Experience & Continuous Improvement
- Support onboarding surveys and feedback tools to measure new hire satisfaction and experience.
- Track onboarding milestones and highlight issues, delays, or gaps to relevant stakeholders.
- Contribute to process improvements, templates, and onboarding materials to enhance consistency and efficiency.
- Prepare regular onboarding updates and basic metrics for HR and management teams.
Requirements:
- Bachelor’s degree in Human Resources, Business Administration, English Language, or a related field.
- 0–3 years of experience in Onboarding and/or Talent Acquisition
- Experience in multi-entity or multinational environments is an advantage.
- Strong coordination, communication, and follow-up skills.
- Hands-on experience with HRIS, ATS, and onboarding tools.
- High attention to detail with strong organizational skills.
- Professional interpersonal and presentation abilities.
- Fluency in English and Arabic.
