Job Purpose: The job holder will implement the project’s outreach strategy by building and managing strategic partnerships, particularly within the Emerging Political Economies (EPE) network and the Global South. This role takes part for expanding the project’s reach, visibility, and impact through the conceptualization and execution of outreach initiatives, events, and activities that align with the research agenda.
Core Responsibilities:
Partnerships and networking:
● Identify and engage potential partners, individuals as well as institutions, whose work aligns with the project’s mandate and research priorities, fostering meaningful collaborations that expand the project’s reach and impact, and enhance the dissemination of knowledge produced through the project
● Lead outreach initiatives across the EPE network and ensure timely post-event reporting and
follow-up with relevant stakeholders
Leadership:
● Supervise the outreach coordinator through regular weekly meetings, task assignments, and
capacity development planning
● Oversee and provide guidance to an additional Research Assistant (RA) in the lead-up to the annual conference
Event conceptualization and planning:
● Spearhead the planning of and deliver outreach activities, including researching and selecting
timely topics, coordinating with Principal Investigators (PIs) and the research team, liaising with
speakers and inviting participants for closed sessions
● Come up with ideas about events and activities that intersect with the project’s research agenda, including roundtables and workshops for researchers and research fellows
● Conceptualize and organize panels, roundtable discussions, intensive schools and other events that advance the project’s mandate and align with its research agenda, including conducting research and drafting detailed concept notes to frame the objectives and scope of events
● Lead the development of event programs, agendas, and related material, including tailored event programs for visiting lecturers and distinguished guests
● Lead and oversee the coordination of travel arrangements for invited participants based abroad, including for the annual conference, which includes travel logistics for 30-50 people, which includes correspondence with participants throughout the booking process, organizing and formatting travel information promptly, ahead of sharing with the administrative focal point
Planning and Reporting:
● Lead the development of and implement the project’s annual outreach strategy and action plan, ensuring alignment with the evolving research agenda and priorities
● Prepare and submit timely event reports, highlighting key activities, discussions, and outcomes
● Report quarterly and annually on the progress of outreach activities against the project's logical framework, i.e., log frame
Annual conference planning:
● Collaborate with the research manager to review applications and create a shortlist of conference participants from the open call
● Propose panel themes based on accepted applicants and the overarching conference topics
● Spearhead the development of a detailed conference agenda and program
● Liaise with conference participants regarding panel details, including presentation guidelines, the collection and distribution of research papers, and ongoing correspondence
● Compile and maintain a master list of attendees with all relevant details, ensuring timely
coordination with the operations team
● Prepare pre-departure booklets and information packs for international invitees
Annual awards:
● Collaborate with the research team in the filtration process of the annual book and PhD awards
● Perform additional duties as assigned
Qualifications:
Education and Experience:
● Bachelor’s degree in a relevant field
● MA is preferred
● 10+ years’ experience, with strong outreach activities record
Skills:
● Communication: Exceptional communication and stakeholder management skills, i.e., able to
represent the institution at high-level engagements
● Events Management: Proven expertise in event planning and delivery of large-scale conferences, workshops, and outreach campaigns
● Technical: Advanced proficiency with event management platforms, CRM systems, and digital
engagement tools
● Analytical skills: Analytical thinking with ability to design performance metrics, evaluations, and
long-term outreach strategies
