Long Description
The Administrative Assistant will provide administrative and coordination support to ensure smooth office operations and site activities in Ras Ghareb. The role requires a proactive, detail-oriented individual with strong organizational skills and fluency in English and Chinese , capable of handling daily administrative tasks, supporting employees, and facilitating communication across departments.
Key Responsibilities
- Administrative & Office Support
- Manage daily office operations and administrative tasks.
- Prepare, edit, and format documents, reports, and presentations.
- Maintain office supplies and coordinate office maintenance to ensure a productive environment.
- Project Coordination & Documentation
- Maintain permits, licenses, and records for vehicles, employees, and office assets.
- Support departments in project planning and execution.
- Assist with scheduling and project tracking.
- Employee Support (Local & International)
- Maintain attendance records and support company events and training.
- Coordinate site permits and ensure compliance with local regulations.
- Manage visas, work permits, and residence arrangements for international staff.
- Procurement & Fleet Management
- Process purchase requisitions (PRs) and purchase orders (POs) and liaise with suppliers.
- Schedule vehicle maintenance and manage fuel refills and fleet logistics.
- Communication & Translation
- Facilitate smooth communication between departments.
- Provide translation for documents, meetings, and correspondence as needed.
- Proficiency in the Chinese language is a mandatory requirement.
