Position Overview
The CRM Specialist is responsible for managing the full lifecycle of incoming leads, ensuring seamless data flow, accurate classification, and timely follow-up across all channels. This role supports Sales, Presales, and Management by maintaining high-quality data, monitoring pipeline activity, and driving CRM best practices in line with company SOPs.
Key Responsibilities
- Lead Management
- Monitor and register all incoming leads from the website, email channels, campaigns, and manual submissions into Zoho CRM.
- Verify, classify, and assign leads based on country, potential, and account type.
- Ensure zero lead leakage across all inquiry channels.
CRM Operations
- Create, track, and complete CRM tasks according to the approved SOP.
- Send introductory emails and manage follow-up sequences.
- Coordinate communication with Presales and Management based on lead country or priority.
- Log all client communications (emails, calls, WhatsApp, meetings) in CRM.
- Classify leads (Active, Warm, Junk) and update statuses accordingly.
- Convert qualified leads into Contacts, Accounts, and Deals.
- Monitor deal stages and ensure accurate pipeline tracking.
- Attach all related commercial and technical documents to CRM records.
Reporting & Data Quality
- Prepare daily, weekly, and monthly CRM performance reports.
- Monitor data accuracy, mandatory fields, and overdue tasks.
- Audit CRM data integrity and ensure proper access controls.
- Recommend workflow improvements and system enhancements to optimize CRM efficiency.
Collaboration & Handover
- Support the smooth handover of Closed-Won deals to the Operations team.
- Coordinate with Sales, Presales, and Management to ensure alignment on lead status and next actions.
CRM Administration
- Manage CRM users, roles, permissions, and modules.
- Ensure full compliance with the company’s CRM and sales SOPs.
Qualifications
- Bachelor’s degree in Business Administration, Marketing, or related field.
- Previous experience with Zoho CRM or similar CRM tools is preferred.
- Strong attention to detail and accuracy in data management.
- Excellent communication and organizational skills.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
