Job Summary:
As an Admin Assistant / Receptionist, you will help keep the office running smoothly, taking care of the administrative and organizational tasks. You will assist colleagues and executives by supporting them with planning and distributing information. You will be the point of reference for all queries and requests or issues.
Main duties and responsibilities:
- Filing of important emails so that they are easily accessible.
- Assist the filing department with filling and archiving where appropriate.
- Handling limited translation requests.
- Handling limited correspondence and taking messages.
- Assisting in producing PowerPoint presentations, if required.
- Assisting Lawyers in completing their time sheets.
- Other routine secretarial works, such as Photocopying, printing and other secretarial work.
- Preparing, managing, Drafting, and formatting office correspondence, memos, and forms.
- Answer phone calls and redirect them when necessary.
- Organizing and distribute meetings around different meeting rooms.
- Handle catering arrangements for meetings and visitors.
- Manage the daily/weekly/monthly agenda and appointments.
- Implementing new procedures and administrative systems.
