Job Description
- Coordinate the direct manager`s calendar, including scheduling and prioritizing appointments, meetings, and travel arrangements.
- Act as a liaison between the business consultant and the heads of departments.
- Proactively manage conflicts and changes in the schedule, ensuring optimal time management.
- Provide timely reminders and updates regarding upcoming meetings or deadlines.
- Prepare and edit documents, reports, and presentations for the direct manager.
- Manage and organize emails, correspondence, and other forms of communication.
- Handle phone calls and inquiries, screening and redirecting them when necessary.
- Maintain files, records, and databases, ensuring accuracy and confidentiality.
- Arrange and coordinate meetings, including booking venues, sending invitations, and preparing necessary materials.
- Attend meetings and take minutes, documenting action items and following up on outstanding tasks.
- Prepare agendas and briefing materials, ensuring the direct manager is well-prepared for meetings.
- Conduct research on various topics, gathering data and information to support the direct managers projects and presentations.
- Analyze data, prepare summaries, and present findings in a clear and concise manner.
- Stay updated with industry trends, news, and relevant information to assist the direct manager in making informed decisions.
- Make travel arrangements, including booking flights, accommodations, transportation, and visas.
- Prepare detailed itineraries and ensure all travel logistics are well-organized.
- Track and manage expenses, process reimbursements, and maintain accurate records.
- Handle sensitive and confidential information with the utmost discretion.
- Maintain a high level of professionalism when interacting with clients, colleagues, and stakeholders.
- Represent the direct manager or consulting team in a professional and courteous manner.
Job Requirements
- Bachelors degree in business administration or a related field (preferred).
- Proven experience from 2–5 years as an executive assistant, personal assistant, or similar role, preferably in a consulting or professional services environment.
- Nasr City/Heliopolis residents or any nearby location will be preferred.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent communication skills, both written and verbal.
- Proficient in using productivity tools such as Microsoft Office Suite or Google Workspace.
- Attention to detail and a high level of accuracy in all work.
- Ability to handle multiple projects and tasks simultaneously.
- Discretion and confidentiality in dealing with sensitive information.
