JOB PURPOSE


To deliver standard business support processes for the Finance unit, and facilitate effective service delivery.




Qualifications required:




Education:


University degree in Business Administration/ Finance, Economics, or any other related areas.




Experience:


Two years of progressively responsible work experience in the Finance/Accounting business stream with experience in general administrative work.




Knowledge & Skills:


• Proficient in the use of office equipment and computer software packages, such as Microsoft Word and Excel


• Ability to identify data discrepancies and rectify problems requiring attention.


• Ability to offer guidance or basic on-the-job training to more junior staff.




Language:


Fluency (level C) in English language and Arabic




Key Accountabilities




1. Maintain proper control over various financial records such as commitments and expenditures against budgeted amounts; initiate actions related to the following: general financial information, and travel payments, and procurement transactions


2. Respond to accounting, budget or financial queries regarding data from staff in the unit and elsewhere in the Programme


3. Identify issues/discrepancies in transactions and the ability to take corrective actions


4. Prepare necessary transactions on the internal system (SAP-WINGS)


5. Account Payable invoices, Bank statement, LIV, Journal vouchers, clear of vendors and GL accounts


6. Maintain Petty Cash entries and act as Petty Cash cashier


7. Maintain the clearance of UNDP account


8. Monitor vendor advances and other receivables and ensures timely clearance of vendor outstanding items, taking corrective follow up actions where required;


9. Monitor the invoice tracking system (ITS) system and ensure all invoices are processed on time


10. Assist in the payroll preparation for various contract modalities


11. Monitor the travel invoices and ensure that weekly validation is received from the travel unit and other focal points timely


12. Maintain the record of bills and collect information from the staff


13. Maintain Finance archiving room/files


14. Support processing and managing routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources.


15. Perform other related duties as required
