Job Description

  • Greeting the CEOs guests and perform the needed logistics to host them, like assisting them with technical setup, screen sharing, etc.
  • Purchasing requirements such as office stationery, office plants, CEOS personal requirements, etc.
  • Assigning off-site errands requested by the CEO to the allocated Facilities members when needed and ensure timely completion.
  • Receive the CEOs personal and office packages.
  • Managing administrational tasks to assist the CEO such as stakeholders notifications of ad-hoc meetings/requests, CVs summarizing, documents printing, documenting meetings minutes, following up with stakeholders on assigned action items, gathering, and refining shared inputs, and preparing reports, presentations, and correspondences.      
  • Managing CEOs off-site reservations, guest outings preparations & logistics, and internal events hosted by the CEO when assigned.
  • Coordinating mass meetings conducted by the CEO such as researching and booking external venues, ensuring technical readiness, gathering inputs, reporting attendance, and collecting feedback etc.
  • Researching miscellaneous assigned information and providing feedback to the CEO to support decision-making.
  • Handling memberships and subscriptions with chambers and external entities by coordinating with focal points to ensure membership renewal on-time, payment of subscription fees, notifications receipt, etc.
  • Register to the CEO in events, forums and conferences upon request and managing the needed logistics such as sharing e-tickets, locations and adding on business calendars.
  • Creating diaries and agendas and handling the CEOs calendar by scheduling internal and external meetings, appointments, interviews, and team activities and remind the CEO of important tasks and deadlines.
  • Handling the CEO travel arrangements, such as visas, flights booking, issuing itineraries and travel plans, and managing accommodation and transportation.
  • Coordinating the CEOs signature of requested documents by ensuring legal revision then proceeding with wet or e-signatures via DocuSign and sending back to requesters. Ensuring maximum confidentiality and complete disposal of physical documents.

Job Requirements

  • 1 to 3 years of experience as admin assistant.
  • C1 English.
  • Presentable.
  • Excellent communication skills including business writing skills.
