The Minute Secretary position is a specialized role requiring a high level of efficiency and confidentiality in the taking and recording of minutes and in the creation of agendas for the executive committee meetings
Responsibilities
Record accurately the decisions commitments and major discussion points made at Meetings
Prepare draft minutes from each meeting for review and approval
Draft minutes to include accurate resolutions from the meetings and ensure formatting and standard text is in accordance with requirements.
Task distribution and follow up on task status before meetings
Maintain confidentiality at all times
Other duties may be assigned
Qualifications
Proficiency in English written communication skills including proven experience taking minutes at executive and top management level meetings
Strong attention to detail and organization skills including the ability to set priorities and to work to deadlines
Good interpersonal and verbal communication skills
Ability to work effectively as part of a small team
Multi national experience and working with different cultures is a plus
Proficiency in German is a plus writing and speaking
Availability to work with different time zones is a must
