The Personal Assistant provides high-level administrative and organizational support to senior leadership. This role ensures leaders time is effectively managed by handling communications, coordinating meetings, arranging travel, and overseeing daily administrative tasks. Acting as a trusted liaison between leadership and internal/external stakeholders, the Personal Assistant facilitates efficient decision-making and supports smooth business operations.
Executive Support & Coordination:
- Serve as the primary point of contact for senior leadership, managing interactions with internal teams and external partners.
- Organize, prepare, and attend meetings; ensure leaders are fully briefed with relevant materials.
- Record meeting minutes, track action items, and follow up to ensure timely completion.
- Screen calls, emails, and correspondence, responding on behalf of senior leadership when appropriate.
- Manage executive calendars, appointments, and events with precision and confidentiality.
Administrative Management:
- Draft, edit, and produce high-quality documents, reports, and presentations.
- Ensure smooth coordination of internal communications and information flow.
- Support special projects and strategic initiatives as assigned by senior leadership.
Travel & Event Management:
- Coordinate travel itineraries—including flights, visas, accommodation, and ground transport—in collaboration with the administration team.
- Prepare and process event registrations and related documentation.
- Maintain accurate records for visa/passport renewals and other travel-related requirements.
Stakeholder Management:
- Welcome and host visitors, ensuring a professional and positive experience.
- Represent senior leadership in a secretariat capacity at meetings and events when required.
- Build and maintain strong working relationships across all levels of the organization.
Experience Requirements:
- Bachelor's degree in any relevant field.
- 5+ years of relevant experience.
- Prior experience as a Personal Assistant, or similar role supporting senior executives.
